Mindbody — Redesigning a Legacy Platform & Building Virtual Fitness Through Covid

Challenge

Mindbody is the operating system for the wellness industry, powering scheduling, payments, and client management for tens of thousands of spas, salons, and fitness studios worldwide. But their legacy product had accumulated years of feature bloat. Setting up a new class required 14 clicks. Booking an appointment meant navigating nested menus that even veteran users found maddening. Support tickets were climbing, churn was accelerating, and competitors with cleaner interfaces were circling. Then Covid hit. Studios shuttered overnight, and Mindbody's entire customer base suddenly needed something the platform had never offered: a way to teach and monetize virtual classes.

Approach

We tackled two massive challenges simultaneously. First, we stripped the legacy product back to its core workflows; class setup, appointment booking, calendar management, client records. And redesigned every interaction path to eliminate unnecessary steps and cognitive load. The new navigation system replaced the labyrinthine menu structure with a task-oriented interface that surfaced the right tools based on what the user was trying to accomplish. Second, when Covid shut down in-person fitness, we designed and shipped a bespoke virtual class platform in under 90 days. Unlike generic Zoom calls, this was purpose-built for fitness instruction, multi-camera support so instructors could show form from different angles, student gallery views for real-time correction, integrated scheduling so virtual classes lived alongside in-person offerings, and built-in payment processing so studios could monetize immediately.

Results

Task completion time dropped 58% across core workflows. Support tickets related to navigation and scheduling fell 41%. The virtual fitness platform launched to over 10,000 classes in its first 90 days, generating critical revenue for studios that would have otherwise closed permanently. The multi-cam instructor experience became a key differentiator that kept Mindbody relevant against a wave of pandemic-era fitness startups.
